Responsibilities

  • Serve as primary contact for specialized technology integrators, ensuring alignment on deliverables and timelines

  • Coordinate multi-workstream technology projects, maintain documentation, track milestones, and facilitate regular status meetings

  • Bridge communication between technical teams and business leadership, translating technical concepts into business insights

  • Create and maintain comprehensive project documentation including meeting minutes, decision logs, risk registers, and progress reports

  • Monitor project timelines, budget utilization, and resource allocation; identify delays or overruns early and escalate appropriately

  • Support contract management processes, track deliverables against statements of work, and ensure service level compliance

  • Proactively identify project risks and implementation challenges; document issues, facilitate resolution, and track mitigation strategies

  • Coordinate testing activities, gather feedback from internal teams, and ensure solutions meet specifications and requirements

  • Prepare regular status updates for executive team, board members, and stakeholders; build confidence in external partnerships

  • Identify opportunities to streamline coordination workflows and enhance collaboration between tokum.ai and technology partners

Must Have

  • Bachelor's degree in Computer Science, IT, Engineering, or Business Administration

  • 1-2 years of experience in project coordination, technical project management, or vendor management (preferably in software/AI startups)

  • Demonstrated experience coordinating with outsourced development teams or technology vendors

  • Strong understanding of software development lifecycle (SDLC) and agile methodologies

  • Excellent organizational skills with ability to manage multiple concurrent projects

  • Outstanding written and verbal communication in English

  • Proficiency with project management tools (Jira, Asana, Trello, MS Project, Confluence)

  • Strong attention to detail and commitment to accuracy

  • Independent work style with initiative and proactive problem-solving abilities

Nice to Have

  • Experience with AI/ML projects, semantic search technologies, or knowledge graph implementations

  • Familiarity with low-code platforms (Oracle APEX, Mendix, OutSystems)

  • Understanding of cloud infrastructure (AWS, Azure, Google Cloud) and API integrations

  • Experience in early-stage startups or high-growth technology companies

  • Knowledge of corporate compliance, GDPR, and IP management

  • Project management certification (CAPM, PMP, PRINCE2)

  • Multilingual capabilities

  • Familiarity with Odoo ERP systems

  • Experience with international, distributed teams and cross-cultural communication
